Role Profile:

We are seeking a highly organized and proactive Executive Secretary to support our executive team. The ideal candidate will possess exceptional Microsoft Office skills, strong communication abilities, and a keen attention to detail. This role is critical in ensuring the smooth operation of our executive office and managing confidential information.

 

The below Key Performance Areas include but are not limited to:

Provide high-level administrative support to executives, including managing schedules, prioritizing appointments, and coordinating meetings.

Prepare and edit correspondence, reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Manage travel arrangements, including booking flights, accommodations, and itineraries.

Handle incoming emails, respond to inquiries, and direct them to appropriate personnel.

Maintain accurate and organized filing systems, ensuring all documents are easily accessible.

Assist in preparing materials for meetings, including agendas and meeting minutes.

Liaise with internal and external stakeholders on behalf of executives, promoting effective communication.

Conduct research and compile data as needed for various projects.

Manage office supplies and equipment, ensuring that the office operates efficiently.

 

Knowledge:

Knowledge of project management tools and software.

Familiarity with office management procedures.

Experience with event planning and coordination.

Experience:

Proven experience as an executive secretary or in a similar administrative role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software.

Excellent organizational skills and the ability to multitask effectively.

Strong verbal and written communication skills.

Ability to work independently and prioritize tasks in a fast-paced environment.

High level of discretion and confidentiality regarding sensitive information.

Bachelor’s degree in Business Administration, Communication, or a related field (preferred).
