About The Role

The B2B Sales Coordinator is responsible for supporting the business-to-business sales team by handling the administrative and coordination tasks required for efficient and successful project and client management. This role ensures that all quotations, approvals, project leads, and client communications are properly tracked, documented, and followed up on.

Key Responsibilities

Quotations & Approvals

- Manage and track all open quotations, from creation to client follow-up.

- Keep the customer updated on the status of invoicing and deliveries.

- Ensure all filing, documentation, and approvals are properly recorded and up to date.
 

Client Follow-Up & Relationship Management

- Proactively follow up with clients regarding open quotations, gathering feedback and determining next steps.

- Coordinate with internal teams (e.g., technical, operations) to address client questions or concerns.

Procurement

- Placing orders with approved suppliers for spareparts and coffee machine and following up on shipments and payments process. 

- Compile and submit regular reports on quotations, leads, and project progress to the B2B Manager and relevant stakeholders.

- Liaising with the regional warehouse teams to manage receiving of inventory items, monitor stock and coordinate delivery requirements.

 

Qualifications & Requirements

 

- High School or Bachelor’s degree in Business Administration or a related field preferred.

- Minimum 3 years of experience in a coordination or administrative role, ideally within sales, B2B, or project-based environments.

- Proficiency in using CRM systems and Microsoft Office Suite (Word, Excel, PowerPoint).

- Strong communication skills (both written and verbal) to liaise effectively with clients and internal stakeholders.

- Excellent organizational and multitasking abilities, with keen attention to detail.

- Ability to proactively follow up and anticipate potential issues or delays in the sales process.
